Peppol in hospitality: what changes for your B2B invoices

Since 1 January 2026, invoices between VAT-registered businesses in Belgium must be electronic and structured. They travel over the European Peppol network. For a restaurant or hotel, this mainly concerns invoices to your business customers.

What is a "structured" invoice?

It isn't a PDF sent by email. A structured invoice is a file that your customer's software reads and processes automatically, end to end. In Belgium, these invoices travel over Peppol, a secure European network reached through approved providers called "access points".

What's covered in hospitality

  • Covered: invoices to VAT-registered businesses: business meals, seminars, groups, catering for a company, nights billed to a company.
  • Not covered: sales to consumers, which continue with the till receipt.

Penalties

The Royal Decree of 8 July 2025 sets fixed fines for breaches: €1,500 for a first offence, €3,000 for a second and €5,000 for each subsequent one.

Support measures

  • The investment deduction for digital investments has risen to 20%.
  • Small SMEs and self-employed people may apply an increased 120% cost deduction on the extra cost of an e-invoicing subscription for tax periods 2024 to 2027.

How Xpos One helps

With Xpos One, your business customer's invoice goes out in Peppol format straight from the sale, whether the order was taken at the counter, at the table, at the kiosk, through click & collect or charged to a room. No re-keying in separate software, and the invoice stays linked to its sale.

What you need to do

  1. Check with your accountant exactly what applies to your business.
  2. Make sure you're registered on Peppol to receive your suppliers' invoices.
  3. Make sure your B2B invoices go out in the right format.
